Wrenthorpe Environmental Society Privacy Notice
Wrenthorpe Environmental Society (WRENs) is committed to complying with its obligations under Data Protection legislation to protect the confidentiality, integrity, and availability of personal data. This privacy notice explains why we process personal data and what we do to keep it secure.
Who are we?
WRENs are a society based in the village of Wrenthorpe near Wakefield, West Yorkshire set up to look after the environment within the village and tackle local environmental issues.
- To conserve and improve the environment of Wrenthorpe;
- To collaborate with other bodies and organisations with similar interest;
- To increase the awareness and understanding of environmental issues.
The aims of the Society are defined within its constitution as:
WRENs have a constitution that defines its aims and responsibilities, and has a committee to coordinate activities, look after finances and administer its membership list.
What do we process?
To manage our members data and annual subscriptions, WRENs process personal data. Names, contact and address details, together with bank account details are recorded on WRENs spreadsheets but we only process personal data that is necessary to process annual subscription or to contact members regarding activities and events. The information is collected directly from our members.
What is personal data?
Personal data is any information that relates to or can be used to identify a living individual. For example, this could be names and contact details.
What is our lawful basis for processing personal information?
WRENs process personal data lawfully and subject to UK GDPR Article 6 1 (a) – the data subject has given consent to the processing of his or her personal data for one of more purposes. The processing of personal data is undertaken in accordance with the rights of the data subject as outlined in UK GDPR Articles 12-23.
Who has access to personal data within WRENs?
The Finance Officer holds members data and limited set of this is shared with Committee Members for the purpose of collecting annual subscriptions. WRENs do not share personal data with any other third party.
How long do we keep personal data for?
WRENs will only keep personal data for as long as it is required for the processing of members subscriptions. Once a data subject is no longer a member personal details are securely deleted.
If you are a data subject what are your rights?
As a data subject, UK GDPR provides you with a number of rights with regards to your personal information. These include:
- To be informed about how we process your personal data. This notice fulfils this obligation.
- To request access to your personal data that we hold, and be provided with a copy of it.
- To request that your personal data is amended if inaccurate or incomplete.
- To request that the processing of your personal data is restricted.
- To object to your personal data being processed.
How do I complain about the way in which WRENs has handled my personal data?
If you have concerns about the way in which WRENs has processed your personal data then please contact our Secretary lynn.marrison@btinternet.com. We aim to reply to any complaints promptly and within statutory time limits.
If we cannot resolve your concerns, you may complain to the Information Commissioner’s Office (the Data Protection regulator) about the way in which WRENs has handled your personal data. You can do so by contacting:
